Bulk Uploading W-9 Requests

Save time by creating W-9 requests in bulk:
If you're managing a large number of vendors or contractors, you can use the bulk upload feature to instantly create multiple W-9 requests & notify your vendors from a single file. Available for all plans.

How to Bulk Upload W-9 Requests

  1. Go to Vendor W-9s → W-9 Requests from the sidebar or dashboard card.
  2. Click the “Bulk Upload” button in the upper-right corner.
  3. Download the sample CSV file by clicking “Download Sample CSV File”.
  4. Open the sample CSV and fill in vendor names and email addresses. Phone numbers are optional.
  5. Save your completed file and return to getW9.
  6. Click “Choose File” next to Upload File and select your CSV.
  7. Select the company from which you’ll be sending W-9 requests.
  8. (Optional) Check the box labeled “Notify Vendor”:
    • If checked: All W-9 requests will be emailed to vendors immediately after creation.
    • If unchecked: Requests will be saved as drafts in your dashboard. You can send invitations manually later.
  9. Click “Save & Proceed” to begin processing your file.
    If you want to validate your data first before uploading, leave the “Save & Upload” box unchecked.

What Happens After Upload?

Once your file is processed, all W-9 requests will be created in the system and appear in your Outstanding W-9 Requests screen. From there, they will follow your default notification settings and workflow.

✅ Tips for a Successful Upload

  • Use the exact column format provided in the sample CSV
  • Ensure email addresses are valid and vendors haven’t been added before
  • Double-check the company selection before finalizing the upload

You can always download the latest version of the CSV format directly from the upload screen to ensure your data is in the right structure.

Each W-9 request created via bulk upload is tracked in your dashboard and handled with the same security, encryption, and audit logging as individual requests.
