Override Contact Details in W-9 Requests (GIGA Plan Only)

GIGA Plan Exclusive:
If you're on the GIGA plan, you can customize the email and phone number shown in W-9 requests sent to your vendors.
By default, W-9s will use your registered getW9 account email and phone unless this override is enabled.

What Is This Feature?

If you're a GIGA user, you can now override your registered getW9 contact details and instead display a custom phone number and email address when sending W-9 requests to vendors — based on the specific company you’re acting on behalf of.

This gives you **finer control over which contact information vendors see**, especially useful if you manage W-9s for multiple companies or teams under one account.

How to Enable the Override Option

  1. Log in to your getW9 account with a GIGA subscription.
  2. Go to Settings → My Companies.
  3. If you want to create a new company with this feature enabled, click the “Add My Company” button.
    If you want to enable this for a company you’ve already added, click the blue edit (pencil) icon next to that company in the list.
  4. Check the box labeled “Override profile contact details when sending W-9 requests”.
  5. Enter the email address you want shown to vendors.
    The phone number shown will be the one already entered in the company's Phone field.
  6. Click “Save Changes”.

What Happens When Enabled?

Once you've enabled this for a company, all future W-9 requests sent on behalf of that company will:

  • Show the custom email address entered in the company settings
  • Use the company's phone number (instead of your profile phone)

This change will reflect in:

  • Emails sent to vendors
  • Vendor-facing W-9 form landing pages

Who Can Use This Feature?

This feature is only available on the GIGA plan. If you're currently on another plan, you can upgrade to GIGA to unlock this powerful customization.

What If I Don’t Use This Feature?

If you don’t enable this feature or are on a plan other than GIGA, getW9 will use your registered account email and phone number as the contact details shown to vendors in W-9 request emails and landing pages.

This works perfectly for most users, especially those managing W-9s for a single company or business.
